Owning a few rentals doesn’t fail on strategy. It fails on follow-through: the lease that rolls over at last year’s rent because nobody had a reminder, the repair that happened but was never written down, the deposit nobody can account for.
The fix isn’t working harder. It’s taking the memory out of it. Here are the four habits we run every property on.
1. A reminder 90 days before every lease ends
Ninety days gives you time to talk renewal, adjust rent and, if someone is leaving, start marketing before the unit sits empty. We set the reminder the day a lease is signed, so it never depends on someone remembering.
2. One portal for rent, repairs and messages
Every resident pays, requests maintenance and messages us in the same place. Nothing gets lost in a text thread, every request has a timestamp, and both sides can see the status. It protects residents as much as it protects us.
3. Money tracked by property, every month
Rent in, expenses out, matched to the property it belongs to. When you can see each building on its own, you know which ones carry the portfolio and which ones need a decision. Lumping everything together hides the problem until tax time.
4. Photos for every repair and every move-in
Before and after photos on every repair. A full photo walkthrough at move-in and move-out. It settles deposit questions fast, keeps contractors honest, and gives you a record when something comes back.
The bottom line
None of this is complicated. It just has to happen every time, which is why it belongs in a system instead of in someone’s head. That’s how we run our homes, and it’s what residents should expect from anyone they rent from.
